Managing Online Exam System for Schools

Education is the fundamental right of every student. Giving basic education facilities to every student is crucial for every nation. However, the growth of the education industry was impacted due to the worldwide lockdowns. As a result, schools were struggling to find new ways of conducting classes and offering seamless education to students. Educational institutions all around the world found a confidant in technology. They used the latest technology to manage students’ studies efficiently. To manage studies and ensure that the entire academic year is not wasted, schools and colleges adopted an online education system. Moreover, this system also helped in managing students’ examinations which is a crucial part of their assessment.

Let us understand how online exam systems manage students’ examinations and provide a fair assessment.

What is an online exam system?

Examinations are a crucial part of students’ assessment process. It improves their learning and the ability to take on new information. Moreover, it also makes them understand the importance of time management. Teachers can assess the strengths and weaknesses of their students through timely examinations.

However, schools could not conduct exams in an offline setup during the pandemic. As a result, they shifted to online exams for student assessments. They adopted the online examination system to identify the knowledge and skill gaps.

An online exam system is software through which schools and colleges can conduct examinations of multiple students collectively. This software tests the subject knowledge and helps teachers understand the learning curve of students. Teachers can use the question bank to prepare assessment tests for students. Moreover, they can define the standard criteria of the exams. Thereafter students can attempt the questions within a limited time frame. Once the test is over, students can see their performance in real-time.

Schools can use two modes of assessment. They can either ask MCQ-based questions or test students' understanding through subjective exams. However, the test results differ in these two exam formats. For example, if students are opting for an MCQ-based assessment, they can expect results in real-time. But the evaluation process changes when teachers prefer subjective examinations. In such exams, teachers need to check the answers and evaluate them. Lastly, management can track students’ performance with the help of student performance reports.

How can schools and colleges manage online exams?

Schools and colleges can manage online exams by following the steps mentioned below:

  1. Define question bank

The first step of conducting an online exam is to create a question bank. Teachers must add all relevant questions to the question bank. If teachers are using MCQ-based questions, they need to define the answers along with adding questions. This saves their time as the answers get auto-corrected.

2. Setup the online tests

After defining the question bank, teachers need to set up an online exam for student assessment. An online exam setup requires various steps, including:

  • Define the date and time
  • Define the total marks for tests and the ranking levels
  • Set negative marks for each question, if applicable
  • Set alert duration for the examinations. These alerts notify students a few minutes before the end of the online exam.
  • Set the guidelines for the test to help students attempt maximum questions error-free
  • Assign questions according to the questions uploaded in the question bank and activate the test

3. Taking the tests

The next step involves appearing in the test on time. The exam starts on the specified date and time. Students can follow the mentioned link to start the online exam.

4. Online exam grading, evaluation, and publishing results

After completing the online exam, the next crucial step is grading the assessment sheets and publishing the results. Teachers can ask MCQ-based or descriptive questions in the tests. However, the grading will change accordingly. For example, if teachers use MCQ, the results will be published in real-time. In contrast, the grading and evaluation process will take time in the case of descriptive questions.

5. Analyzing the reports

Educational organizations are more concerned about results as they need to inspect and analyze the performance of individual students. Understanding students' learning curve and knowledge are crucial to ensure their holistic development.

Online exam systems are crucial to understand the level of understanding in students. Moreover, this system works effectively and provides accurate results in real-time.
